ADVENTURE IN THE WILD SAFARIS – BOOKING TERMS & CONDITIONS
THE CONTRACT
These conditions apply to all tours provided by Adventure in the Wild Safaris Ltd registered no 80020000423851, unless otherwise stated. Adventure in the Wild Safaris is a fully licensed and bonded as a Tour Operator and are a member of the Association of Uganda Tour operators (AUTO).
BOOKING AND PAYMENT
The tour price quoted in the information pack is subject to change without prior notice. Adventure in the Wild Safaris will confirm all prices before you book your holiday. Your safari package will indicate what is and what is not included in the tour price. Flights are NOT included in the cost of the safaris unless otherwise stated.
Deposit: A deposit amounting to 40% (unless otherwise stated) of the total cost of the safari is needed to confirm the safari. On selected safaris, deposits are non-refundable. If your tour includes Gorilla trekking, Chimpanzee trekking, mountain hiking, you are required to pay the full amount for the trekking permit and in most cases the required deposit exceeds 40%.
Final Payment: The balance is due a minimum of 30 days prior to your departure. For bookings made less than 60 days prior to your departure, payment is required in full.
ACCOMMODATION
We assume that people travelling on their own are prepared to share accommodation especially if they wish to join groups. We try to arrange for single travellers to share with someone of the same sex, but cannot guarantee this. Sometimes we have to change the rooming arrangements at the last minute. If it is not possible to arrange a share with another guest, or if you would prefer a single room, you will usually have to pay a single supplement.
For private tours, you only share accommodation with people in your group. And all single travellers have their own rooms.
AIRPORT TRANSFERS AND FLIGHT BOOKINGS
We offer free Airport pickups and drop offs at the Beginning and end of your trip. If your flight arrives/departs on a different day/time to rest of the tour you may incur a cost for an airport transfer.
We also offer flight booking services for internal flights or flights included in the tour package. These includes flights to tour destinations such as Entebbe to Bwindi- Kihihi, Entebbe to Murchison falls – Pakuba, Entebbe to Kidepo etc, other flights we can book for you include those around the region especially if your trip with us spans to two or more of the following countries Uganda, Rwanda, Congo, Kenya, Tanzania etc
CANCELLATION
All cancellation requests should be emailed to us on time such that the cancellation procedure be put into place.
On cancellations made outside 90 days prior to your departure, deposits will be returned less any expenses incurred, unless deposits were stated as non-refundable at the time of booking (for example gorilla permit fees, chimp trekking permit fees, volcano hiking fees. These fees are not refundable, but tracking dates can be extended if you write to us early enough).
Safaris cancelled between 90 and 61 days prior to departure – deposits are not refundable. For cancellations between 60 and 30 days prior to your departure, a charge of 30% of the total cost of the safari will apply.
Inside 30 days a charge of 75% of the cost of the safari will apply. For cancellations 48 days or less, loss of 100% of total booking cost
INDEMNITY AND LIABILITY
Any safari is potentially hazardous and it is essential that all lawful directions and advice of the safari operator be followed. Adventure in the Wild Safaris Ltd and any safari company acting on its behalf, accept no responsibility for any illness, accident or loss whatsoever incurred in the course of the safari or for any expense from such illness, accident or loss.
ALTERATION OF SAFARIS
Adventure in the Wild Safaris Ltd and any safari company acting on its behalf, reserves the right to withdraw any safari, eliminate any feature or alter the itinerary, should local conditions necessitate.
INSURANCE
It is a booking requirement that all travellers take out comprehensive travel insurance. This should be done at the time your booking is confirmed and your deposit paid. All clients should be fully insured against accident, all medical eventualities, repatriation, cancellation, curtailment and default. Adventure in the Wild Safaris Ltd or any safari company acting on its behalf cannot be held responsible for loss or damage to baggage and personal effects. This should be covered by your travel insurance policy.
LATE BOOKINGS
We will attempt to accommodate any late bookings, we however encourage travellers booking last minute trips to follow advice offered by our staff. Most of the last minute bookings require that you make a decision as quickly as possible to ensure that all your reservations for the tour, permits and accommodation are booked before you start the tour.
PASSPORT AND VISAS
It is the sole responsibility of the client to ensure that all passport and visa requirements are fulfilled prior to departure. Passports must have at least 6 month validity from the date of your RETURN and two spare blank pages for the entry stamp and preferably more if several countries are being visited.
HEALTH
Consult your doctor or pharmacist. Medical travel records and required certificates must be brought with you. All guests must understand that while a high level of fitness is not required, a measure of physical activity is involved in all Adventure in the Wild Safaris trips. It is the responsibility of clients to advise us prior to departure of any specific medical conditions. Some safaris are at altitude. Anti-malaria precautions must be taken, and these are the sole responsibility of the client.
RESPONSIBILITY
Neither Adventure in the Wild Safaris nor any person acting for, through or on behalf of the Adventure in the Wild Safaris shall be liable for any loss or damage whatsoever arising from any cause whatsoever and without restricting the generality of the foregoing shall particularly not be responsible for loss or damage arising from any errors or omissions contained in these pages or any other literature, late or non-confirmation or acceptance of bookings, loss or damage caused by delays, sickness, injury or death, whether occasioned by negligence or not.
The person making any booking will, by the making of such booking, warrant that he or she has authority to enter into a contract on behalf of the other person/s included in such a booking and in the event of the failure of any or all of the other persons so included to make payment, the person making the booking shall by his/her submission of the booking form assume personal liability for the total price of all bookings made by him/her.
PHOTOGRAPHY
Adventure in the Wild Safaris reserves the right to use pictures taken on Safari which may contain your image. Adventure in the Wild Safaris owns the copyright to all pictures taken by them or on their behalf.
